Owner portal

The front desk KPIs your phone already knows.

Most clinics guess at how many calls they get and how many turn into appointments. Bella answers every one, so the numbers are simply there.

In short

Analytics turns the calls Bella answers into the front desk KPIs a med spa owner watches: how many calls came in, what share became bookings, how long they ran, which hours are busiest and how each call ended.

Included for every Bella clinic Part of the owner portal, whether or not you keep your booking software.
In detail

How it works, part by part.

The charts, with no setup

Charts fill in once Bella starts taking calls. There is nothing to configure.

  • Call volume over time.
  • Success rate: the share of calls that ended in a booking.
  • Average call length.
  • Peak hours: calls by hour of the day.
  • Call outcomes: booked, info only, no booking and callback.
  • Recent transcripts, one tap away from the chart that raised the question.

What to do with each number

A KPI is only useful if it changes a decision.

  • Peak hours tell you when a second person at the desk matters, and when an ad will be answered fastest.
  • A dip in success rate is a reason to read that week's no-booking transcripts.
  • A high share of after-hours calls shows what voicemail used to cost you.
  • Lots of info-only calls about the same thing means the answer belongs on your website.

One period, everywhere

The date range at the top of the portal applies to every screen: 30, 60 or 90 days, all time, or your own dates. Dashboard numbers also show the change against the period before, so a good month looks like one.

How it's used

A monthly review in four steps

  1. Pick the period

Choose the last 30 days, or set your own dates.

  2. Read volume and success rate

How many calls, and what share became bookings.

  3. Look at peak hours

Compare them with when your desk is staffed.

  4. Open the misses

Read a few no-booking transcripts and look for a pattern.

What it doesn't do

Analytics covers the calls and texts Bella handles. It doesn't report on ad spend, website traffic or the treatments performed in the room.

Questions about analytics

What KPIs should a med spa front desk track?

Call volume, the share of calls that become bookings, after-hours calls, missed-call saves, average call length and peak hours. Together they show how much demand reaches the desk and how much of it is turned into appointments.

How is booking success rate calculated?

It is the share of calls in the period that ended with a booking.

When do the charts start working?

As soon as Bella starts receiving calls. Until then the screen says there are no analytics yet.

Do I get this if I keep my booking software?

Yes. The owner portal comes with every Bella build. Bella works alongside most booking systems, and the portal reports everything she handled either way.
