Back office

Med spa checkout that starts from the booking.

At most front desks, checkout means finding the client, retyping her services and hoping the commission gets counted later. Here the booking is already on the screen.

In short

Checkout is the point-of-sale screen in Bella's back office. The day's bookings are already listed, so ringing a client out means opening her booking, confirming the services and retail, and recording how she paid. Every closed ticket feeds payroll, inventory and your reports.

Included when Bella runs your book Part of the back office, opened from the portal.
In detail

How it works, part by part.

Today's board

The screen opens on today, with every booking in time order.

  • Ring out a booking with one tap, or mark it as a no-show or a cancelled appointment.
  • Step back a day, forward a day, or jump to any date.
  • See what has been checked out today and what is still open.
  • Each provider can see what she closed herself.

Building the ticket

A ticket holds everything from one visit.

  • Services and add-ons, each credited to the provider who did the work.
  • Retail products, with quantities. Stock comes down as you sell.
  • A second client on the same ticket, so two people who came in together share one invoice and one payment.
  • Walk-ins and online sales, started from their own buttons.
  • A walk-in added to your client list with only a phone number, so you can find her next time.
  • Price changes that need a reason: promo, adjustment, loyalty or other.

Taking payment

Record how the client paid, including sales tax.

  • Card, debit, cash, check or other.
  • Split one ticket across more than one payment.
  • Close the ticket and it gets an invoice number. Download the invoice any time.

Fixing mistakes without losing the trail

Errors happen at a busy desk. The record stays honest.

  • A voided ticket stays on the record, marked void, and its stock goes back on the shelf.
  • A paid ticket can be reopened by the owner, corrected and marked paid again.
  • A ticket can't be closed while commission rates are missing, so nobody's work is recorded at zero by accident.
How it's used

Ringing out a client

  1. She arrives

Her booking is already on today's board.

  2. Tap Ring out

The ticket opens with her service and provider filled in.

  3. Add what changed

    An add-on, a retail product, a promo.

  4. Record the payment

One method, or split across two.

  5. Close the ticket

Invoice numbered, commission counted, stock updated.

What it doesn't do

Bella never takes card details or deposits by phone. Checkout records the sale and how it was paid, and the card itself is run on your card terminal. Tips stay with the provider and are kept out of commission.

Questions about checkout

Is this a full POS system for a med spa?

It covers the front desk sale: tickets for services and retail, sales tax, split payments, numbered invoices, voids and corrections, with payroll and inventory updating from each ticket. Card payments are run on your card terminal.

Can two clients share one invoice?

Yes. Add the second client to the same ticket and they pay once.

Can I sell retail to someone with no appointment?

Yes. Start a new sale, add the products and take payment. You can add her to your client list with just a phone number.

What happens when I void a ticket?

It stays on the record marked void, it is left out of your totals, and any stock on it goes back.

Is this included if I keep my booking software?

No. The back office is built on the appointment book, so it comes with the build where Bella runs your book. If you keep your own booking software, you get the owner portal and your current tools stay as they are.

See it on your own clinic.
